Privacy Policy
This policy explains how Vortex Trend LLC, trading as Booked By Search, handles personal information in connection with bookedbysearch.com and the Booked By Search service.
1. Information we collect
Depending on how you use the site or service, we may collect business and contact information such as business name, business type, service location, name, email address, phone number, website details, project information, onboarding answers, uploaded files and communications with us.
Payment card details are entered directly into Stripe and are not stored by this website. Stripe may process billing details, payment method information, customer details and subscription information under its own terms and privacy practices.
2. Qualification and checkout data
The qualification form temporarily stores the answers you enter in your browser’s session storage so you can resume checkout during the same browser session. The website does not currently maintain a separate marketing lead database from that qualification form.
When you continue to checkout, the relevant qualification information is sent through our Netlify serverless checkout function to Stripe and may be stored by Stripe as checkout, customer and subscription metadata. This includes information such as business name, business type, service location, email and limited campaign attribution fields.
3. Onboarding data
After payment, onboarding information submitted through the website may be processed through Netlify Forms and used to create and deliver the requested service. Do not submit passwords through the onboarding form. Secure access should be provided separately when required.
4. How we use information
We use information to assess service fit, create and manage websites and search systems, process subscriptions, provide support, communicate with customers, verify guarantee claims, maintain business and accounting records, protect the service, measure funnel performance where permitted, and improve our services.
5. Analytics, advertising and tracking
If configured, the website uses Google Analytics, the Meta Pixel, Meta’s server-side Conversions API and Microsoft Clarity for website analytics, advertising measurement, attribution and conversion reporting. These configured browser tools load when the website is opened and may process page views and funnel interactions. If a relevant tracking ID is not configured, that tool does not load.
After a successful Stripe purchase, a matching server-side purchase event may also be sent to Meta for conversion measurement and deduplication. For event matching, this can include Meta browser/click identifiers, IP address and browser user-agent captured during checkout, and one-way hashed versions of the checkout email address or phone number. Payment-card details and the contents of onboarding fields are not sent to Meta for advertising matching.
Google, Meta or Microsoft Clarity may receive device, browser, page-view, interaction, conversion and similar technical information under their own privacy practices. Clarity may be used for session recordings, heatmaps and interaction analysis; sensitive form content is intended to remain masked. We do not intentionally send health information, payment-card information or other sensitive form contents to Meta Pixel, Google Analytics or Clarity.
6. Cookies and browser storage
The site uses browser storage required for core functionality, including temporary qualification progress in session storage. When configured analytics and advertising tools load, Google, Meta or Microsoft Clarity may set or read cookies and similar online identifiers for measurement, attribution and related purposes. You can restrict or delete cookies using your browser settings and the privacy controls offered by the relevant platforms.
7. Service providers and overseas processing
Information may be processed by providers needed to operate the service, including Stripe for billing, Netlify for hosting / serverless functions / forms, Google for search tools and analytics where enabled, Meta for advertising measurement where enabled, Microsoft Clarity for behavioural analytics where enabled, and domain or technical providers used to deliver the customer’s project. These providers may process information in the United States, Australia or other countries where they or their infrastructure operate.
8. Retention and security
We take reasonable steps to protect personal information and retain it only for as long as reasonably needed for the service, customer support, contractual obligations, accounting, dispute resolution, legal obligations and legitimate operational needs. Browser session-storage qualification data is controlled by the visitor’s browser and normally ends with the session, although browser behaviour can vary.
9. Access, correction and deletion requests
You may contact us to request access to, correction of, or deletion of personal information where applicable law provides those rights. Some information may need to be retained for legal, billing, fraud-prevention or record-keeping reasons.
10. Testimonials and case-study material
We use identifiable client testimonials, screenshots or case-study material publicly only where permission has been provided. Where permission is not available, client-identifying information may be anonymised.
11. Changes to this policy
We may update this policy when our services, data flows or legal obligations change. The current version will be published on this page with the updated date.
